A plain-language guide to getting drivers onto your platform and getting jobs to them — the two ways to register a driver, the three ways to dispatch a job, and how to delegate work to a driver's own team or to another operator.
Every driver goes through the same core steps — profile, documents, vehicle, bank details. The difference is who fills it in, and when the account gets approved.
The driver signs themselves up
You register the driver for them
Key difference: only the admin-assisted path ends with an immediate decision — approving there lets the driver go online right away. The app-only path always lands the driver in a pending state that you review separately. Every document step in the back-office wizard can also be skipped, so missing paperwork never blocks the account from being created.
Driver is verified and can accept rides immediately — goes straight into the dispatch pool.
Saved, but the driver can't go online until an admin comes back and approves the account.
Application declined. A reason is required and gets sent back to the driver automatically.
The moment you approve or save a driver from the back office, you get a ready-to-send credentials card — copy it or send it straight to WhatsApp. The driver logs in with that email and confirms with a one-time code.
Every booking can be dispatched one of three ways, depending on how hands-on you want to be.
The job is offered out to nearby available drivers based on your dispatch rules — no one has to manually pick a driver.
A dispatcher looks at a shortlist of available drivers and assigns the job to whichever one fits best.
The job goes straight to one specific driver — useful for a passenger who always rides with the same driver.
Some drivers run more than one vehicle themselves. Rather than you managing every one of those extra drivers directly, a lead driver can have other drivers added underneath them and assign jobs to that smaller team directly — the same way you register any driver, just reporting to that lead driver instead of straight to you. You still see everything at the fleet level; the lead driver just handles the day-to-day for their own vehicles.
Not every job has to stay inside your own fleet. If a booking doesn't fit — you're fully booked, it's outside your service area, or it calls for a vehicle you don't run — you can pass it to another operator by email invite, directly from your dashboard. They accept it on their end and run the trip through their own fleet, without you handing over access to your system or them needing an account with you first.
Real answers to the questions we hear most from operators getting set up.
Either way. A driver can install the app and complete sign-up themselves, or you can register them from the back office in one sitting. Both end up as the same driver record — the difference is just who fills in the details and when the account gets approved.
No. A driver who signs up through the app always lands on a pending dashboard — the account is offline until an admin reviews it in the back office and approves it. Only a driver registered by an admin can be approved on the spot with no extra review step.
When you register a driver from the back office, every document step — license, insurance, vehicle documents, bank details — has a Skip option. You can finish the registration and come back for paperwork later without losing anything already entered.
Approve makes the driver verified and able to accept rides immediately. Hold (Pending) saves the account but keeps it offline until you come back and approve it. Reject declines the application — a reason is required and gets sent to the driver automatically.
As soon as you register a driver from the back office, a confirmation screen shows their account ID and a ready-to-send credentials card you can copy or send straight to WhatsApp. The driver logs into the app with that email and confirms with a one-time code.
Automatic Dispatch offers a job out to nearby available drivers based on your dispatch rules. Manual Dispatch lets a dispatcher pick the driver themselves from a shortlist. Direct Assignment sends the job straight to one specific driver you choose — useful when a passenger always rides with the same driver.
Yes. A lead driver can have other drivers set up underneath them and assign jobs to that smaller team directly — useful for an owner-operator who runs a few vehicles of their own inside your fleet.
Yes. When a job doesn't fit your own fleet — you're full, it's outside your service area, or it needs a vehicle type you don't run — you can send it to another operator's account by email invite, without handing over access to your dashboard.
